OBJECTIVE
To lay down the procedure for allocating Identification Numbers to Instruments/Equipment in order to have unique Identification No. for better traceability and reference in all related documents.
SCOPE
This SOP shall be applicable for all instruments and equipment installed in Quality Control Laboratory at ABC Limited.
RESPONSIBILITY
Execution: Chemist and above – QC department.
Checking: Asst. Manager and above – QC department
PROCEDURE
- Each Instrument/Equipment shall have a unique Identification No., once a No. is allocated to any Instrument/Equipment, the same identification No. shall not be repeated to any other Instrument/Equipment.
- The Identification No. shall be assigned to each instrument/equipment present in the Quality Control Department as per the format given below.
- Each instrument/equipment shall be identified by 11 characters Alphanumeric code in the format XXX/YYY/QZZ
Where,
XXX = First three characters correspond to the alphabet denoting the company name ABC Limited.
YYY = corresponds to the alphabet denoting the instrument name
Q = stands for quality control
ZZ = serial numbers starting from 01 for each category of instrument/equipment.
👉 Example: 1st HPLC quaternary gradient system shall be numbered as “RIL/HLC/Q01.”
Similarly, 1st Analytical Balance shall be numbered as “ABC/BAL/Q01.”

- Whenever any new instrument is installed in the laboratory, a new identification number shall be assigned to that instrument
- QC personnel shall affix the allocated Identification No. in front of the instrument/equipment.
- Update the list of Instruments/Equipment Identification No. in Annexure - 1 and approve it whenever required.
